Attending a genealogy conference is high on many researchers’ lists. RootsTech in Salt Lake City is one of the largest and most energizing events in our field. My first conference was the National Genealogical Society annual meeting. I was excited, absorbed, and by the fourth day thoroughly exhausted. Since then I’ve learned how to plan conferences so they’re productive and enjoyable rather than overwhelming.

As I prepare my schedule for RootsTech 2020, I’m sharing strategies that help me get the most from a conference—whether you’re a first-timer or a seasoned attendee. A conference plan is as useful as a research plan: it keeps you focused and helps you return home refreshed and ready to work on what you learned.

What goes into a genealogy conference plan for RootsTech 2020?

1. Lodging — Location, location, location

When possible, stay in a conference hotel or nearby. Close lodging eliminates driving or complicated transit, and provides a quiet spot for a mid-day break. Sharing a room can significantly reduce costs. Also, check the hotel fitness center—short workouts or a brisk walk will help counter long hours of sitting.

2. Choose sessions ahead of time

Conference schedules and session descriptions are usually posted in advance. Review them and mark the talks you most want to attend. Prioritize a mix of skill-building classes and inspiring presentations so you come away with both practical tools and new motivation.

3. Use the conference app

Download the official app if one is offered. It typically contains the session list, speaker bios, downloadable handouts, and venue maps. For large centers, maps are invaluable. Use the vendor directory and exhibit-hall map to plan which booths you want to visit.

4. Wear comfortable shoes

Conference venues cover a lot of ground. Comfortable footwear is essential—expect long walks between session rooms and through the exhibit hall. You’ll enjoy the day much more if your feet aren’t complaining by mid-afternoon.

5. Bring business cards

Genealogy-focused business cards make follow-up easy. Include your name, email, and research interests or surnames you’re pursuing. A quick card exchange helps you connect with fellow researchers you might collaborate with after the conference.

6. Visit the vendor hall during sessions

Exhibit halls are busiest during breaks and between sessions. If you want meaningful conversations with vendor representatives, try visiting the hall while popular sessions are running. You’ll have more time to ask questions, see demos, and learn about new features.

7. Schedule breaks

Trying to attend every available talk leaves you mentally drained. Block time in your schedule for short breaks—grab a coffee, take a walk, or sit quietly for ten minutes. You’ll retain more information and enjoy the conference longer if you pace yourself.

8. Pack a water bottle and snacks

Staying hydrated and having a healthy snack on hand keeps your energy steady. Conference food can be costly or limited in options, so a refillable bottle and a few snacks are practical and economical additions to your bag.

Not everyone can travel to a conference. Work, family, or budget constraints are common. Fortunately, many events now offer virtual alternatives so you can participate from home.

9. Buy a virtual pass when available

Check whether the conference offers a virtual pass or a recordings package. These options let you watch sessions live or view recordings later, often at a lower cost than attending in person. Virtual access is a great way to learn from top speakers without traveling.
